Outlook Data Setup

 

Outlooker directly interfaces with Outlook to display your tasks, email, calendar items and more. The Outlook Data Config window is how you tell Outlooker exactly what you want to see.

 

The top half of the window controls what folders you want to see in your display panel. The bottom half controls exactly what data you want to display.

 

Adding and Removing Folders

Outlooker comes with a basic, default setup. To add more folders to the display simply click the "Add Folder" button. The standard Outlook folder picker will appear.

 

Just click on the folder you want to display then click OK. Your folder will be added to the folder display list. You can add the same folder more than once if you want to see multiple "views" of the data (for example, all active tasks and all completed tasks from the last 7 days).

To remove a folder click on it in the folder display list and click OK. It's gone!

Clicking on a folder displays its settings in the bottom half of the dialog.

 

Folder Settings

Now you need to configure how your folder should appear.

"Only show a summary of this folder" tells Outlooker to display a one line summary of the folder contents instead of the actual contents. Summaries are only available for mail, task and note folders, mainly because "You have 4,000 appointments" doesn't help anyone much :-)

"Display a folder name above folder data" tells Outlooker to put a title above the data, unsurprisingly. If you leave the "Custom Title" text field blank the title is the folder name. If it's not blank, your custom title is displayed instead.

In this screenshot, the very top line has the "Inbox" and "Tasks" folders configured to show summaries only. A second "Inbox" folder has then been added with "Display Folder Name..." ticked but no custom title. On the bottom right a calendar folder has also been added with "Display Folder Name..." ticked, and a custom title of "Calendar: Next 7 Days" added.

"Use this query to generate the folder display" is how you tell Outlooker exactly what data you want to retrieve from Outlook. The Query Builder page explains all!

"Sort by" controls the sorting of your data. If you don't specify anything here Outlooker simply takes a guess at what you might want. The fields you can select from the dropdown are all those available in Outlook. A detailed explanation of what these fields do is on the Query Builder page.

 

Once you've made changes to a folder's configuration, click the "Save Changes" button to commit them. If you switch to another folder without saving your changes, Outlooker will prompt you to save or discard them.
